Ecstatic Birth Retreat
Terms & Conditions
The purpose of this Retreat Agreement is to communicate our mutual expectations during the Ecstatic Birth Retreat (the "Retreat"). In exchange for being allowed to participate in the Retreat, you agree to be bound by the following terms.
1. Parties
This Agreement is made between Ecstatic Birth LLC, a Limited Liability Company operating in the State of New York ("Ecstatic Birth", "we", "us", and "our"), and you, the undersigned (electronically or by hand) or the person who has clicked "I Agree" to this Agreement ("you" and "your").
2. Payment & Deposit
In order to reserve your spot on a Retreat, a $333 deposit is required. Your place will be held once the deposit is received. The deposit is non-refundable for any reason if you choose to cancel your trip.
Full payment is due 90 days prior to the Retreat start date. Payment plans may be available by mutual written agreement.
3. Refunds & Cancellations
Deposit: $333 to secure your spot — non-refundable.
Refunds: 50% of the total retreat cost refundable if cancellation occurs on or before May 1, 2026 (deposit excluded).
After May 1, 2026: All payments are non-refundable.
Credit Option: The non-refundable portion of your payment may be applied as credit toward a future Ecstatic Birth retreat or program within 2 years of the original retreat date.
Late Arrivals/Early Departures: No refund or credit for unused retreat days.
Travel Insurance: We strongly recommend purchasing “cancel for any reason” insurance to protect your investment.
4. Changes and Cancellation by Ecstatic Birth
Ecstatic Birth reserves the right to cancel or modify any part of the Retreat if necessary.
If Ecstatic Birth must postpone or cancel a retreat due to circumstances beyond our control, affected participants will receive a credit toward a future Ecstatic Birth retreat or program valid for two (2) years.
Ecstatic Birth is not responsible for any losses associated with travel arrangements made by participants, including but not limited to airline tickets, accommodations, or other travel-related expenses.
5. Force Majeure
Ecstatic Birth LLC shall not be liable for failure to perform its obligations if such failure results from events beyond its reasonable control, including but not limited to natural disasters, acts of God, pandemics, government restrictions, political unrest, travel restrictions, labor disputes, or other unforeseen circumstances.
In such cases, Ecstatic Birth may reschedule the Retreat or issue a credit toward a future program.
6. Passports, Visas, and Flights
Participants are responsible for obtaining all required travel documents for the countries visited during the Retreat. Many countries require passports to be valid for at least six (6) months beyond the duration of the trip.
Participants are also responsible for booking their own flights unless otherwise specified.
Ecstatic Birth is not responsible if a participant is refused entry into a country due to incorrect travel documentation, and such situations will not result in a refund.
7. No Guarantees
While Ecstatic Birth strives to provide a meaningful and supportive retreat experience, individual results and experiences will vary. Ecstatic Birth makes no guarantees regarding specific outcomes or results from participation in the Retreat.
8. Ownership of Materials
Any materials provided to you during the Retreat, including but not limited to videos, recordings, documents, worksheets, or PDFs, are for your personal use only and may not be reproduced, shared, distributed, or used commercially without prior written permission from Ecstatic Birth LLC.
9. Media Release
The Retreat may be photographed, filmed, or recorded. By participating, you grant Ecstatic Birth LLC the irrevocable and perpetual right to use photographs, video, or audio recordings taken during the Retreat for educational, promotional, marketing, or training purposes without compensation.
10. Recommended Travel Insurance
Participants are strongly encouraged to obtain travel insurance that covers trip cancellations, travel delays, medical care, and participation in retreat activities.
Participants are fully responsible for any losses, penalties, fees, or other financial consequences arising from booking or cancelling travel related to the Retreat.
11. Discretion to Deny Bookings
Ecstatic Birth reserves the right to reject or cancel any participant booking at any time prior to the start date of the Retreat.
12. Health, Immunizations, and Travel Warnings
Each participant assumes full responsibility for researching the safety and health conditions of the destination.
By booking the Retreat, you confirm that you are in good physical and mental health and capable of participating in the activities offered. You also confirm that you are able to care for yourself during the Retreat and do not have medical conditions that could pose a risk to yourself or others.
Participants are encouraged to consult with their healthcare provider regarding any medical considerations prior to attending the Retreat.
13. Privacy Policy
Any personal information collected may be used for purposes associated with the operation of the Retreat. Information may be shared with agents, service providers, or suppliers as necessary to organize and operate the Retreat.
14. Assumption of Risk and Release of Liability
Participants understand that the Retreat may include activities such as movement practices, breathwork, group exercises, emotional exploration, travel activities, and other wellness practices that carry inherent risks.
By participating in the Retreat, you voluntarily assume all risks associated with participation and release Ecstatic Birth LLC, its owners, facilitators, contractors, employees, and representatives from liability for any injuries, damages, losses, or claims arising out of participation, except in cases of gross negligence or intentional misconduct.
Participants acknowledge that they are voluntarily participating and are responsible for their own physical, emotional, and mental wellbeing during the Retreat.
15. Educational and Informational Purposes Only
All content, activities, and experiences provided during the Retreat are intended for educational and personal development purposes only and are not intended to replace medical advice, diagnosis, or treatment.
Ecstatic Birth LLC and its facilitators do not provide medical, psychological, or therapeutic services unless explicitly stated otherwise.
Participation in the Retreat does not establish a medical provider-patient relationship.
Participants are encouraged to consult with their physician, midwife, therapist, or other qualified healthcare provider regarding any medical or mental health concerns prior to attending.
16. Emotional Wellbeing and Personal Responsibility
The Retreat may include group discussions, guided exercises, breathwork, movement, reflective practices, and other experiential activities that may evoke emotional responses.
Participants acknowledge that personal growth experiences can involve emotional intensity.
Ecstatic Birth LLC and its facilitators are not acting as licensed therapists, psychologists, or medical professionals unless explicitly stated otherwise. The Retreat is not a substitute for psychotherapy, counseling, or medical treatment.
Participants agree that they are responsible for monitoring their own physical, emotional, and mental wellbeing throughout the Retreat.
If you have a history of significant mental health challenges, trauma, or medical conditions that could be affected by participation, you agree to consult with a qualified healthcare professional prior to attending.
Participants are encouraged to step out of any activity at any time if they feel uncomfortable or overwhelmed.
17. Participant Conduct
Ecstatic Birth LLC is committed to maintaining a respectful and supportive environment for all participants.
Participants agree to conduct themselves in a respectful and responsible manner toward facilitators, staff, and fellow participants.
Ecstatic Birth reserves the right to remove any participant from the Retreat without refund if their behavior is disruptive, unsafe, discriminatory, or harmful to the group environment.
18. Alcohol and Substance Policy
To maintain a safe, supportive, and clear environment for all participants, the use of alcohol, illegal drugs, or non-prescribed controlled substances is not permitted during the Retreat or at any retreat-related activities.
Participants agree not to bring, use, or distribute alcohol or drugs during the Retreat. In addition, participants should not have taken any substances that alter brain chemistry, including but not limited to psychedelics, up to one week prior to attending the Retreat.
Any participant found in violation of this policy may be asked to leave the Retreat immediately without refund.
This policy is intended to support the safety, presence, and integrity of the retreat experience for all participants.
19. Personal Property
Participants are responsible for safeguarding their personal belongings during the Retreat. Ecstatic Birth LLC is not responsible for lost, stolen, or damaged personal property.
20. Pregnancy and Health Considerations
Participants who are pregnant or have medical conditions that could be affected by physical or emotional activities agree to consult with a qualified healthcare provider prior to attending. Ecstatic Birth LLC is not responsible for any injury, complication, or health-related event resulting from participation in the Retreat.
21. Optional Participation
Participants are encouraged to listen to their own boundaries. You may opt out of any activity or practice at any time if you feel uncomfortable, overwhelmed, or unsafe, without penalty.
22. Peer and Group Interaction
Any advice, guidance, or suggestions shared by facilitators, other participants, or guest speakers are for informational purposes only and are not a substitute for professional medical, legal, or mental health advice. Participants are responsible for their own decisions and actions.
23. General Indemnity
Participants agree to fully indemnify Ecstatic Birth LLC and any of its members, directors, officers, employees, contractors, volunteers, agents, successors, and assigns (the "Indemnified Parties") from any losses, claims, damages, actions, costs, or expenses arising directly or indirectly from the participant's actions or omissions while participating in the Retreat.
24. Standard Legal Provisions
Choice of Law and Venue
This Agreement shall be governed by the laws of the State of New York. All claims shall be submitted to the exclusive jurisdiction of the courts of the State of New York.
Severability
If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
Entire Agreement
This Agreement constitutes the entire agreement between the parties and replaces any prior agreements or understandings.
Waiver of Breach
The waiver of any breach of this Agreement shall not constitute a waiver of any future breach.
Notice
Email or text message may serve as written notice where notice is required under this Agreement.
Headings
Section headings are for convenience only and are not legally binding.
Counterparts
This Agreement may be executed in multiple counterparts, each of which shall be deemed an original.
Online Agreement
This Agreement may be accepted electronically by signature or by clicking "I Agree," which shall have the same legal effect as a handwritten signature.
Participant Acknowledgment
By signing above or clicking "I Agree," you acknowledge that you have read, understood, and agreed to all of the terms of this Agreement and voluntarily agree to participate in the Retreat under these conditions.
We are grateful you are joining us and look forward to sharing this experience with you.
